As a business owner, you need to stay focused yet adaptable. Overloading yourself with tasks can stifle creativity and lead to burnout. This blog isn’t just about time management—it's about cultivating the right mindset to help everything else fall into place–so you can overwhelm doesn’t have to be your constant companion.
The Pareto Principle
The Pareto Principle, also known as the 80/20 rule, states that 80% of outcomes come from 20% of the causes. When applied to your business, this means that 20% of your tasks likely drive 80% of your results. How would your business evolve if you focused 80% of your energy on the most impactful 20% of your to-do list?
When structuring your to-do list, it’s essential to prioritize tasks that align with your business's purpose and long-term vision. Are you investing your time in activities that drive progress, or are you getting caught up in less meaningful tasks?
Be Adaptable
It’s okay to have more on your to-do list than you can realistically complete in a day. As a business owner, unexpected challenges are inevitable. You may start your day with a plan, only for something unanticipated to throw you off course. In these moments, you have three choices:
Push through and work excessive hours to complete your list.
Feel defeated for not finishing everything.
Adapt and pivot, deciding how to best achieve your goals at the next opportunity.
We advocate for the third option. Flexibility is a strength, not a weakness. Learning to pivot when necessary is crucial in business, and your to-do list offers a daily opportunity to practice this valuable skill.
Shoot for the Moon
Once you've embraced the idea of adaptability, we suggest putting more on your to-do list than you think you can complete. Why? As motivational speaker Les Brown says, “Shoot for the moon. Even if you miss, you’ll land among the stars.”
As humans, we tend to downplay our abilities to avoid disappointment. But with the right mindset, you don’t have to fear falling short. Instead, aim high! You may surprise yourself with how much you can achieve with focus and ambition. Even if you don’t complete everything, you'll likely accomplish more than you would have by setting smaller goals.
Eliminate Unnecessary Tasks
Take a critical look at your to-do list. Are there tasks that don’t truly need your attention? Could some be delegated? Are others unnecessary at this time? Clear away the clutter and focus on tasks that drive your business forward. Always ask: Does this further my purpose, or is it just noise?
Task Grouping
Think of your time as a pizza. The more tasks you slice through, the thinner you’re spread. Group similar tasks together to maintain momentum and improve efficiency. Shifting between unrelated tasks can be jarring, so try to batch tasks with similar rhythms or mindsets. This will help you preserve focus and energy as you move through your day.
Shifting your perspective from “I can’t get everything done” to “What can I accomplish today?” frees you from the pressure of perfection. Rather than being paralyzed by a to-do list, make incremental progress every day. The goal is to think differently about task management, work differently by prioritizing effectively, and live differently by staying adaptable.
Remember, filling every moment of every day isn't the answer. Keeping your head down might help you finish tasks, but it could also make you miss out on valuable connections and experiences. Embrace a new way of structuring your time, and you’ll find greater success and fulfillment.
